Learning how to manage time wisely is a critical aspect of your ultimate success in security management. Efficiency not only helps you remain mentally alert and ready to respond to varied situations calmly, but it also encourages your security staff to do likewise. Mastering these practical steps to time management will help you be a better manager overall.

Take time for yourself. Begin your day and end each day with personal time. Taking care of yourself is essential. It enables you to stay mentally and physically alert – critical aspects of any job, but especially in security. Self-care also helps you remain emotionally calm and ready to respond with a “cool” head.

Don’t rush – it often results in mistakes that take more time repairing than do it right in the first place

Create weekly and daily plans – lists are crucial.

  • Chunk your day into specific time blocks. Some prefer 30-minute blocks – others may choose 60 minutes. Set your phone timer to keep you on track.
  • Use each block for one task – this allows you to focus on a specific job and do your best. 
  • Plan similar tasks in back-to-back chunks. Completing tasks that use the same skills and mindtools creates greater efficiency.
  • Schedule your hardest tasks during your best time of day.
  • Schedule your least favorite tasks as early as possible – getting them crossed off the list will improve the rest of the day.
  • Keep it simple.

Mitigate distractions

  • Leave social media alerts off. Plan designated times to take care of email and respond to messages and voice mail. 
  • Declutter your work area – the everything has a place, and everything in its place became a mantra for a reason.
  • Schedule mandatory meetings on specific days and keep other days meeting free.

Take advantage of your travel (when you’re the passenger) and wait times

  • Review work-related docs
  • Keep reading material with you and use this time to expand your thinking.
  • Catch up on social media
  • Catch a few ZZZZs
